Parent Association Roles and Responsibilities

The President serves as the liaison between parents and the School and provides guidance and oversight to members of the Executive Board. The term is one year.

• Responsible for the overall operations of the Parents Association.
• Serve on the Executive Board and facilitate meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and School employees.
• Plan the meeting agendas, schedule, and preside over Parents Association Executive Board meetings.
• Meet regularly with the Head of School at Head of School’s discretion.
• Consult with and support all school-appointed Chairs.
• Collaborate on budget activities with the Treasurer and bring a vote by the Parents Association Executive Board for approval.
• Serve on the Nominations committee.
• Meet with the incoming President to ensure a smooth transition.

The Vice President provides oversight as needed to the Executive Board members, and supports the President. The term is one year.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and school employees.
• Meet with the President and complete tasks, as needed.
• Agree to serve as President, if directed by the School to do so, in the event that the President is not available to fulfil their obligations.

The Secretary shall record the minutes during the Executive Board meetings and circulate them to the President and members for review and approval. The term is one year.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and School employees.
• Record minutes during Executive Board meetings and provide the minutes to the President for review.
• Handle other correspondence as directed.
• Meet with the incoming Secretary prior to the end of the school year to ensure a smooth transition.

The Treasurer shall work in collaboration with the PA President and the Director of Constituent Relations to oversee the Parents Association budget. The term is one year.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedure  when interacting with PA Members and school employees.
• Collaborate with the Director of Constituent Relations to prepare the annual budget and present it to the Executive Board.
• Assist the President and Executive Board as directed.
• Monitor the budget and give reports of receipts and expenditures to the PA Executive Board on an as-needed basis.
• Approve all expenditures of the PA, and work with the Director of Constituent Relations to ensure that they are coded correctly, within budget, and an appropriate use of funds.
• Meet with the incoming Treasurer prior to the end of the school year to ensure a smooth transition.

Each Division of the School has a Division Representative. The Division Representative is the liaison between the PA Executive Board, the Grade Representatives in their Division, and the Division Administration.  The term is two years.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and school employees.
• Work with the Division Head and Director of Constituent Relations to determine the meeting schedule for the Division Grade Representative meetings.
• Meet regularly with the Division Head at the Division Head’s discretion.
• Chair Division meetings with Grade Representatives, Division Head, and/or other necessary employees or applicable.
• Work with the incoming Division Representative to ensure a smooth transition.

 The Chair, Parent/Guardian Affinity Groups serves as the liaison between the Parents Association and the School’s Office of Diversity, Equity, Inclusion, and Belonging (DEI&B). This is a one year term.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and school employees.
• Work with the Director of Diversity, Equity, Inclusion and Belonging, the Director of Constituent Relations, and other School Administrators to help coordinate the Common Threads Parent/Guardian Affinity Group program.
• Work with the Director of Diversity, Equity, Inclusion, & Belonging to plan and execute the School’s Affinity Group program. These tasks include, but are not limited to, determining the calendar for Affinity Group meetings, and training the Affinity Group facilitators.
• Support the School as needed with DEI&B initiatives.
• Work with the incoming Chair, Parent/Guardian Affinity Groups to ensure a smooth transition.

The Chair, Nominations oversees the work of the Nominating Committee with the goal of establishing a slate of Executive Board nominees to be presented to the Parents Association before the start of the following school year. The term is one year.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and School employees.
• Work with the Director of Constituent Relations to build the nominating committee, and communicate nominations information to the PA.
• Lead the Nominations Committee through the selection process.
• Coordinate with the Director of Constituent Relations each nominee’s approval with Holton Administration and the Head of School.
• Contact each approved nominee to determine if the nominee has a full understanding of the responsibilities of the position, and is willing to serve. In the event that a nominee declines a position, the Nominating Committee must make another selection.
• Work with the incoming Nominations Chair to ensure a smooth transition.

The Chair, Parent Education works with the School to facilitate a robust parent education program. This position also serves as the School’s Parents Council of Washington (PCW) Representative. The term is one year.

• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Procedures when interacting with PA Members and School employees.
• Serve as the School’s liaison to Parents Council of Washington.
• Work with the Head of School, Director of Constituent Relations, and other School Administrators to help coordinate parent educational opportunities and programming.

The Chair, Volunteer Recruitment works with the Director of Constituent Relations and other members of the School Administration to recruit, train, and support volunteers for key areas of need for the School, including but not limited to: The term is one year.

• Athletics
• Fine and Performing Arts (FPA)
• Admissions
• Faculty/Staff Appreciation
• Parent Socials
• Blue/White Night and Spirit Week
• Serve on the Executive Board and attend meetings.
• Support and uphold the PA Operational Guidelines when interacting with PA Members and School employees.
• Work with the incoming Chair, Volunteer Recruitment to ensure a smooth transition.

Grade Representatives work to ensure that PA activities pertinent to their grade are carried out each year, and promote member volunteerism at PA-sponsored events and programs. Each Grade Representative reports to their respective Division Representative.

Grade Representative is a two-year term. There are positions open in every grade.

Lower and Middle School Grade Representatives meet monthly, from 8:15 - 9:30 a.m. Upper School Grade Representatives meet monthly, from 2:30 - 3:30 p.m.
